Diagrams where viewers cost nothing
Whimsical draws flowcharts, wireframes, mind maps and sticky-note boards in one file type rather than four applications, and it opts for speed over precision: shapes snap, connectors route themselves, and a diagram is finished before a general drawing tool has been configured. Only editors are billed, and viewers are free on every tier including the free one. Guests, team count and file size are what separate the plans. Anybody wanting pixel-exact control over a diagram will find the automatic routing gets in the way.
Our note
The free tier is unusually workable, so start there and upgrade when the three-board limit bites rather than on principle. Compare with Miro only if you need an infinite canvas for workshops, because this is faster for structured diagrams and worse for a wall of sticky notes.

Wire the tools together without writing code
Zapier connects one app's event to another app's action, which is how most creator plumbing gets built: a new YouTube upload posts itself to Discord, a form submission opens a task, a purchase adds someone to a list. It matters most when the tools you already pay for do not talk to each other and the alternative is doing it by hand every week. Pricing counts tasks rather than seats, so cost follows how much actually runs.

Count the tasks a workflow will actually consume before picking a tier, because a busy trigger can burn a month's allowance in a week. Start on the free plan and let the first thing you hit tell you which limit matters.
